communications, facilitating meaningful opportunities, and
continually seeking and providing feedback for reciprocal growth
and learning.The Specialist, Leadership Events Production provides
centralized support for the successful execution of events within
an assigned region, including vendor sourcing, managing marketing
deadlines, auction procurement, vendor payment schedules, and other
event logistics support. They will be responsible for maintaining
processes and tracking systems to ensure adherence to marketing and
event timelines for events in their region. Attention to detail,
exceptional organizational skills, and ability to handle multiple
tasks is essential in this role.
This position routinely works with external vendors and volunteers
requiring excellent verbal and written communication skills and
customer service. They will work closely with relationship
management partners within the assigned regions.Essential Functions
/ Responsibility Lead the centralized logistical support of
assigned regions80%
- Reserve and secure venue for assigned events by predetermined
deadline; identify and recommend new venues as necessary
- Secure some vendors for events. Maintain a focus on cost saving
measures by ensuring appropriate bidding process for multi-site
vendors (including rentals, communication equipment, entertainment
equipment, food vendors, security) whether paid or in-kind
- Manage vendor payment schedules and maintain accurate records
of all invoices and expenses ensuring excellent stewardship of
society resources.
- Create and manage logistics/production timeline for all events;
adhere to deadlines and communicate progress to supervisor,
identifying potential roadblocks or challenges
- Determine and communicate on-event staff assignments in
conjunction with development team partners
- Schedule and facilitate pre, post and on-event production
meetings with appropriate staff (include volunteer engagement and
production company when necessary)
- Other duties may be assigned as needed to support event
operationsOnsite Event Management10%
- Provide logistical coordination to support revenue growth
through well-executed event planning and implementation for
specific events in assigned regions.
- Ensure the delivery of a mission centered, inspiring, and
exceptional event experience for all participants.
- Responsible for purchasing, packing and distribution of
specified event supplies before, during and after each event
- Auction Item Management10%
- Develop a clear and efficient process for acquiring auction
items for events as needed.
- Submit requests for auction items, ensure timely follow up and
track items through procurement processRole Qualifications
- Two years of related experience in event planning and
execution
- Non-profit experience preferred
- Ability to work independently with minimal guidance/direction
from supervisor
- Strong initiative with the ability to manage multiple projects
with competing priorities
- Ability to establish and maintain strong collaborative
relationships and work effectively with multiple teams
- Ability to adjust and maintain effectiveness in the face of
multiple demands, challenges
- Strong organizational, planning, and prioritization skills
- Excellent written and oral communication skills with strong
interpersonal skills
- Results driven, tenacious, strong attention to detailTechnical
Competencies
- Microsoft Office Suite and Outlook knowledge required.

- This position will be required to drive/travel on Society
business. Candidate must possess a valid driver's license, proof of
insurance and reliable transportation. The Society does run motor
vehicle checks for all positions which require driving, and the
applicant must meet the Society guidelines.
- Availability to work occasional nights and weekends to support
eventsCompensation and Benefits InfoThe estimated hiring
compensation range for this role is $20-26/Hour. Final offers will
be based on candidategeographic location and consider career
experience and may vary from this range due to these and other
